01 In short

What does Exyconn build for healthcare providers?

AI for clinics is a set of administrative agents that handle appointments, routine patient questions, intake paperwork, report delivery and insurance documents, so reception and billing staff can look after the patients in the room. Exyconn designs, builds and runs these agents on top of your HMS or clinic software, WhatsApp Business account and phone line. They never diagnose, prescribe or triage on their own: anything clinical goes to a doctor or nurse.

Why clinics are doing this now

  • Patients who can't get through on the phone book with another clinic instead.
  • Every missed appointment is a slot a doctor could have used for someone else.
  • Paper forms filled in the waiting room mean retyping, errors and longer queues.
  • ABHA-linked records and digital claims are becoming the normal way of working in India.
  • Front-desk and billing teams are stretched, and repetitive work is what burns them out.

Hi, I need a follow-up with Dr. Iyer for my thyroid. Anything on Saturday?

Hello Mrs. Kulkarni. Dr. Iyer has 10:20 and 11:40 free this Saturday at the Baner clinic. Which works for you?

10:20. Should I stop my tablet before the blood test?

You're booked for 10:20. I can't advise on medicines, so I've passed your question to Dr. Iyer's nurse, who will reply here today.

Ok thanks

Here's a short form to update your medicines and allergies before the visit. The consultation fee is ₹800, payable at the desk or by UPI.

A patient books a follow-up; the agent finds a slot, sends the intake form and leaves the medical question for the doctor.

02 The reality

Where a clinic's hours actually go

Ask a practice manager what fills the day and most of it happens away from the consulting room.

03 Use cases

Six administrative jobs AI takes off your front desk

04 A day with it running

One day at a three-branch polyclinic

A Monday at a polyclinic with general medicine, paediatrics and an in-house lab. Each moment lights the part of the clinic the agent is working on.

  1. 07:30

Forms done before the doors open

Patients booked for the morning have already filled in their history and consent forms on WhatsApp. The receptionist only has to check the flagged ones.

  2. 08:15

    The morning numbers

The practice manager sees today's bookings by doctor, Friday's no-shows and the claims still waiting on a TPA, and moves a paediatrician to the busier branch.

  3. 10:45

    A cancellation, refilled

A patient cancels a 12:00 slot by replying to her reminder. The agent offers it to the waitlist and a father with a feverish child takes it within minutes.

  4. 13:20

    A cashless file, complete

For a day-care procedure, the agent gathers the ID, policy card, doctor's notes and estimate into the pre-authorisation set. The billing executive checks it and submits to the TPA.

  5. 16:00

    Reports out, one held back

Forty blood reports are released and sent. One the doctor marked for discussion goes out as a callback request instead, booked for tomorrow morning.

  6. 21:30

    An evening question

A parent asks if the clinic is open on Sunday and whether vaccinations need an appointment. The agent answers and books the slot; a question about side effects goes to the nurse's morning queue.

What it looks like for your kind of practice

One receptionist, one phone

Single-doctor & dental clinics

When one person runs the front desk, the first win is not missing calls. We start with an agent that books and reminds on WhatsApp and the phone, and sends forms before the visit.

  • Bookings and reminders on WhatsApp
  • Intake and consent forms before the visit
  • Waitlist offers for cancelled slots

Many doctors, a busy lab

Polyclinics & diagnostic centres

With several specialities and a lab, the volume is in reports and scheduling. Agents balance bookings across doctors and branches, deliver reports once released and chase follow-ups.

  • Scheduling across doctors and branches
  • Report delivery after release, with callbacks
  • Home sample collection booking

Admissions, billing and claims

Hospitals

For hospitals the heavy load is on the help desk and the TPA desk. Agents answer patient families, prepare pre-authorisation and claim document sets, and track every claim to settlement.

  • Patient and family help desk on WhatsApp
  • Pre-authorisation and claim document sets
  • Claim tracking and ageing reports

07 Rollout

Live at the front desk in weeks

We start with appointments, where the phone load is, and add clinical-adjacent work only after your doctors have reviewed the rules.

  1. 01 · Weeks 1–2

    Map the patient journey

We list your HMS, lab and billing systems, read a sample of patient messages and agree with your doctors what the agent may answer and what it must pass on.

  2. 02 · Weeks 3–5

    Appointments and queries

Booking, reminders and routine questions go live on WhatsApp and the phone, with front-desk staff reviewing conversations in the first weeks.

  3. 03 · Weeks 6–10

    Intake, reports and billing

Digital intake, report delivery, claim document sets and the morning analytics are added one by one, each signed off by the relevant team.

  4. 04 · Ongoing

    Run and improve

We review escalations and unanswered questions, keep the approved answers current with your doctors and report monthly on what the agent handled.

09 FAQ

Questions clinics and hospitals ask us

Does the AI give medical advice or triage patients?

No. It handles administration only. Questions about symptoms, medicines or results go to your doctors or nurses, and anyone describing an emergency is told to call emergency services or come to the hospital straight away. Doctors decide what the agent is allowed to say.

Will it replace our receptionists?

No. It takes the phone and WhatsApp load off the desk so receptionists can look after patients standing in front of them, and passes anything sensitive or unusual to them with the conversation attached.

Which HMS and lab systems can it work with?

Any HMS, EMR or LIS with an API or a dependable export. Where your software is ABDM-enabled, the agent can work with ABHA-linked records through it. We confirm exactly what your systems allow in the first week.

How is patient data protected?

Health data stays in your systems and a private environment we set up for you, with role-based access, encryption and a full audit log. Patients consent before we message them, and the setup follows the law that applies to you: India's DPDP Act and ABDM's rules, the GDPR in Europe or HIPAA in the United States.

Can patients use their own language?

Yes. The agent works in English, Hindi and other Indian languages on WhatsApp and phone, while the approved answers are written once by your team.

How much does it cost?

It depends on the number of doctors, branches and systems involved. Most clinics start with appointments and reminders; tell us about your practice and we'll send a fixed quote for that first phase.

Show us a week of your front-desk calls

We'll map which calls and messages an agent could handle, which must stay with your staff, and what it needs from your HMS. No obligation.
